What it does

The front desk's whole day, in one program

DESK is not a “reservation book”. It covers the working side of a hotel: room status, folios, agency accounts and the reports that drive pricing.

Room rack and reservation rack

Every room's state on one screen: occupied, vacant, being cleaned, out of order. On the reservation rack you see who is where along a date axis and when each room frees up — read at a glance, not dragged around to find out.

  • View by room status and room type
  • Reservations laid out along a date axis
  • Room moves and room rate definitions

Guests and groups

One guest or a full coach party — the same flow. In a shared room each person's account can be kept separately.

  • Guest records and archive
  • Group reservations and group accounts

Cashier, folio and invoice

Department extras post to the folio, the account closes by room or by guest, and the invoice stays in the archive.

  • Folios by room and by guest
  • Front office cashier, receipts and payments
  • Invoices, invoice archive, currency schedules

Agency contracts and accounts

Contract rates by room type, validity dates, currency and commission are defined inside the hotel. A reservation takes its rate from the contract instead of someone typing it in.

  • Rates by room type; each contract its own currency
  • Agency and company balances kept in the hotel
  • Receipts and payments post to the cashier at the same time

The numbers hoteliers actually use

Not occupancy and turnover alone: ADR, RevPAR, room nights sold and the busiest day of the month.

  • Average occupancy and room revenue
  • ADR and RevPAR
  • Split by room type, agency, board type and nationality

At the desk and in your hand

The same program opens on a phone. Housekeeping marks a room clean, the manager checks occupancy from the road — with no separate app to install.

  • No separate mobile version
  • Add to home screen, opens full screen
  • Windows, Mac, iPad, Android

We would rather show you…

Every image below comes from the program itself. There are no mock-ups drawn for the brochure.

01

Room rack — room status at a glance

Each room has its own tile and the colour tells you its state. When housekeeping marks a room clean the front desk sees it at the same moment, so nobody has to call and ask. Filter by room type and by floor.

Reservation rack — laid out by date

Rooms are rows, days are columns. When a room frees up and where a reservation sits are visible on one screen; the gaps you could still sell stand out on their own.

Forecast dashboard — ADR and RevPAR

Average occupancy, total room revenue, average daily rate (ADR) and revenue per available room (RevPAR) on one screen, with a daily occupancy-and-revenue chart underneath and splits by room type, agency, board type and nationality.

Agency contract card

The contract with an agency lives inside the hotel: rates per room type and board type, validity dates, currency and commission rate. When a booking is opened it takes its price from here, so nobody types a rate by hand and last season's reservations keep the price they were sold at.

What we do not have, said plainly

DESK has no channel manager (OTA connection) and no online booking engine. Those mean a separate infrastructure and a serious cost; once that cost is added to the licence, every hotel pays for it whether it uses them or not.

Our aim is to do the work a hotel does every single day properly, in detail and at a fair price. That is why our effort goes into the front office, the cashier, folios, agency accounts and reports. Hotels that use a channel manager can keep it as a separate service.

And if the authorities in your country expect certain filings to be submitted by the software itself — guest registrations, occupancy statistics, tax returns — tell us the format. We already do exactly that for Türkiye, where guest identity notifications and the monthly occupancy return are built into the program. Doing the same for another country is work we can complete quickly.

Frequently asked

Do we need to buy a server?
No. The program runs in the cloud; there is no server, server room or backup hardware to keep in the hotel. Nothing is installed on the front desk computer either — you sign in through a browser.
How many users can we create?
As many as you like. Front desk, housekeeping, accounting and management can all be signed in at once and there is no per-user charge. Who sees which screen is set per screen.
Can we work in more than one currency?
Yes. Each account and each agency contract carries its own currency, and room rates can be held in foreign currency. Daily exchange rates arrive automatically and are stored day by day, so folios are converted to the base currency at that day's rate.
What happens if the internet goes down?
The program is in the cloud, so if the connection drops so does access. That is why we recommend a backup line (a second circuit or a mobile hotspot) — card payments depend on the same connection today.
Where is our data kept, and is it backed up?
Data is held on the server and backed up automatically every day, with historical copies kept separately. The hotel does not have to do anything for backups.
Can foreign staff use the program?
The interface switches to English with one click — menus, screens, reports and warning messages included. In hotels with international staff the front desk can work in its own language.

Let us see together how it would work in your hotel

How many rooms, how many departments, which agencies — tell us and we will open a demo account. Watch the program working on a ready-made demo hotel, then decide.
