One guest or a full group — the same flow

Guest records, the archive and group reservations all work the same way, and in a shared room each person's account can be kept separately.

A group's journey

  1. Enquiry

    A booking is opened under the group name

    An agency announces a large group. In the bulk reservation window the dates, room type and number of nights are entered once, and the group name goes in at the same place. If the guest names have not arrived yet, the records open without them and are completed later.

  2. Rooming list

    The records are completed

    When the agency sends the list, names and passport details are written onto the records. They are entered once and stay on the guest record — nothing is retyped on a second screen.

  3. Arrival day

    Bulk room numbers, bulk check-in

    When the group reaches the door, pending records are given room numbers in bulk and then checked in in bulk. Forty records do not mean opening the same screen forty times.

  4. Stay

    Charge the group or the room?

    The group folio is kept separately. Accommodation can be charged to the group and extras to the individual; the split is set up at the start rather than untangled at check-out.

  5. Departure

    Bulk check-out and archive

    Check-out is done in bulk too. Records are not deleted, they pass to the guest archive: when the same group returns, the previous stay is there.

Guest records

Room, reservation, arrival and departure, board type and room rate in one list. Filtered by reservation type: in house, departed, due out today, on hold. If a room holds several guests each one has its own row — you select the row whose account is being charged.

The first record — where a reservation is opened

The record is split into four tabs: booking details, identity details, personal details, company details. Everything the front desk needs while on the phone is on the first tab; identity and company details can stay empty until the guest arrives. The room number is optional — pick a room type and assign the number later.

  • The stay is built from three fields — arrival date, number of nights, departure date; change one and the others are calculated
  • Board type, guest type (adult/child) and currency belong to the record itself
  • A reservation starts as “pending”; confirming it is the front desk's decision, the program never advances it on its own
  • Group name and contract number are entered here, not linked afterwards

Room Details — the room's whole story in one window

Clicking an occupied room on the floor plan opens Room Details, and everything the front desk does with that room happens here. On the left, the stay and the money: arrival, nights, departure; the room rate in the base currency and in foreign currency; total room, total extras, paid and balance. In the middle, the guests in the room, one per row — each with their own rate, board type and balance.

  • The right-hand column is the room's action list: check-out, receipt, payment, folio posting, room and guest folios, folio transfer, invoicing, balance transfer, discount, room-night charge
  • Below it, the room's own actions: check-in, cancel reservation, add a guest, check a guest out, change room
  • Reservation type, number and date sit in the same window as the agency and voucher details
  • In a shared room the account splits per guest: the balance is read separately for the room and for each person

Group records

Groups have their own list, filtered by arrival and departure date and by reservation type: in house, departed, reservations, on hold. How many rooms a group has, how many are occupied and where its account stands are all read from the group's own row.

  • The group account is a separate folio: extras can be posted to the group rather than the room
  • A group's rooms are badged on the room rack so they do not get mixed up
  • Bulk check-in and bulk check-out are done from the group's own row
  • Rooms placed on hold are tracked separately; when a group shrinks the room goes back on sale

Frequently asked

Can I open a reservation before I know the names?
You can. The record is created from the room type and the dates; names and identity details are added later. With group bookings this is the norm — agencies usually send the rooming list afterwards.
Is a departed guest's information lost?
No. A departed guest passes to the archive, and the past stay, the account and the reporting trail remain. When the guest returns, the record is found in the archive rather than retyped.
Do group rooms get confused with the rest of the floor plan?
They do not. A group's rooms are badged on the room rack, and how many rooms the group has and how many are occupied is read from the group's own row.
Can several guests in one room have different rates?
Yes. Each guest in the room can be given their own room rate, and nightly charges are posted automatically for each person. This is optional: if separate accounts are not kept, the whole room's account is held on the first guest in the room.
